Alder Parlor is operated by ALDER PARLOR GROUP LTD. For the purposes of applicable data protection law, ALDER PARLOR GROUP LTD is the controller of the personal information described in this policy, except where another organisation expressly acts as an independent controller.
This policy should be read together with our Cookie Policy, Terms & Conditions and Legal Notice.
2. Controller Information
The controller is:

3. Personal Information
“Personal information” means information that identifies you or can reasonably be connected with you. It does not include information that has been irreversibly anonymised so that you can no longer be identified.
The information we collect depends on how you interact with us, which services you use and the choices you make.
4. Contact and Identity Information
We may collect your name, email address, telephone number, billing address, delivery address, country, postcode and other contact details you provide.
We use this information to create or manage your account, process orders, arrange delivery, provide customer service, prevent fraud and communicate with you.
5. Account Information
If customer accounts are available, we may process your account identifier, login details, saved addresses, language, currency, preferences and account settings.
Passwords and authentication credentials are handled through Shopify’s account infrastructure. Alder Parlor does not need access to your readable password.
6. Order and Transaction Information
We collect information about products you view, place in your basket, purchase, return, exchange or cancel. This may include order numbers, products, sizes, quantities, prices, currency, discounts, delivery method, tracking events, return status, refund information and communications concerning the transaction.
We use order information to perform our contract with you, deliver products, manage returns, provide support, maintain accounting records and comply with consumer, tax, customs and product-safety obligations.
7. Payment Information
Payments are processed by Shopify Payments or another payment provider selected at checkout.
Payment providers may collect your card number, security code, expiry date, billing information, bank or wallet information and authentication data directly. Alder Parlor does not ordinarily receive or store your complete payment-card number or security code.
We may receive limited payment information such as the payment method, transaction identifier, payment status, fraud signals, card type and partial card details.
Payment providers may act as processors, independent controllers or both, depending on the processing activity and applicable law. Their own privacy notices may also apply.
8. Communications and Customer Service
We process the information contained in emails, contact forms, support requests, order enquiries, return requests, complaints and other communications with us.
This may include your name, contact details, order information and any text, photographs or videos you choose to provide.
Please do not send passwords, complete payment-card details, identity documents or sensitive personal information unless we specifically and lawfully request it through a secure channel.
9. Reviews and Customer Content
If you submit a product review, we may collect your review, rating, display name, order-verification status, photographs, videos and related consent records.
Reviews may be made publicly visible on our website. We will not intentionally publish your private email address, delivery address or complete legal name unless you expressly request or authorise it.
If we wish to use an identifiable customer photograph or video in external advertising, we will obtain any additional permission required by applicable law.
10. Device and Usage Information
When you visit our website, we and our authorised service providers may collect technical and usage information such as your IP address, browser type, device type, operating system, language, approximate location, time zone, referral source, pages viewed, links selected, basket activity and interaction with website features.
This information may be collected through server logs, cookies, pixels, tags, local storage and similar technologies.
Further information, including how to control non-essential technologies, is provided in our Cookie Policy.
11. Marketing Information
We may process your email address, telephone number, marketing preferences, consent records and interactions with marketing messages.
Where required by law, we will send promotional email or SMS communications only with your consent. Where another lawful direct-marketing exception is available, we will still provide a clear opportunity to opt out.
You can unsubscribe from promotional emails by selecting the unsubscribe link included in the message. Where SMS marketing is used, the message will provide an appropriate opt-out method.
Opting out of marketing will not prevent us from sending necessary messages about an order, refund, account, safety notice or customer-service request.
12. Information We Receive from Other Sources
We may receive personal information from Shopify, payment providers, fraud-prevention services, delivery companies, fulfilment partners, analytics providers, advertising partners, review platforms and customer-service providers.
Examples include payment confirmation, fraud indicators, delivery events, return status, advertising attribution, website interactions and confirmation that a review relates to a genuine purchase.
Where personal information is obtained from another source, we will process it only where we have an appropriate lawful basis and provide information as required by applicable law.
13. How We Use Personal Information
We use personal information only for specified and legitimate purposes. The applicable purpose and legal basis depend on the context.
14. Processing Necessary for a Contract
We process personal information where necessary to take steps at your request before a contract or to perform our contract with you.
This includes receiving and confirming orders, processing payments, arranging fulfilment and delivery, providing tracking, communicating about the order, managing cancellations, processing returns, issuing refunds and providing customer support connected with a purchase.
15. Processing Required by Law
We process personal information where necessary to comply with legal obligations.
This may include maintaining tax and accounting records, responding to lawful regulatory or court requests, complying with product-safety and recall obligations, investigating unlawful transactions, maintaining evidence of consumer notices and fulfilling data-protection obligations.
16. Legitimate Interests
We may process personal information where necessary for the legitimate interests of Alder Parlor or a third party, provided that those interests are not overridden by your rights and freedoms.
Our legitimate interests may include securing the website, preventing fraud and chargeback abuse, protecting customers, improving customer service, managing and defending legal claims, maintaining necessary business records, measuring the performance of our store, improving products and understanding how customers use our services.
Before relying on legitimate interests, we consider whether the processing is necessary, proportionate and reasonably expected and whether your interests or rights should take priority.
17. Consent
We rely on consent where required for promotional email or SMS, non-essential cookies, personalised advertising, certain analytics technologies, optional customer content and any other activity for which consent is the appropriate legal basis.
You may withdraw consent at any time. Withdrawal will not affect the lawfulness of processing carried out before consent was withdrawn.
Consent to unnecessary processing is not a condition of purchasing products from Alder Parlor.
18. Fraud Prevention and Security
We and our payment or fraud-prevention providers may use personal information to detect unusual transactions, unauthorised payments, identity misuse, account compromise, return abuse, chargeback fraud and other unlawful activity.
This processing may involve automated risk signals. An order may be flagged for review, temporarily held or declined where there are reasonable grounds to suspect fraud or security risk.
Where a decision based solely on automated processing would produce a legal or similarly significant effect and applicable law provides additional rights, we will provide the safeguards required by law, which may include obtaining human review and allowing you to explain or challenge the decision.
19. Personalisation and Advertising
With your consent where required, we may use information about products viewed, basket activity, purchases and website interactions to personalise content, measure campaigns or display relevant advertising.
Advertising providers may use cookies or similar identifiers to understand whether an advertisement led to a visit or purchase. Further details and controls are provided in our Cookie Policy.
You have an absolute right to object to the use of your personal information for direct marketing. You may exercise this right by unsubscribing or contacting contact@alderparlor.com.
20. When We Share Personal Information
We share personal information only where necessary for the purposes described in this policy, where you direct us to do so, where we have an appropriate legal basis or where disclosure is required by law.
We do not sell personal information in exchange for money.
21. Shopify
Our store is hosted and operated using Shopify. Shopify processes information required to provide the ecommerce platform, customer accounts, checkout, security, analytics and related services.
Depending on the feature and processing activity, Shopify may act as our processor, an independent controller or both.
You can learn more through the Shopify Consumer Privacy Policy and exercise certain Shopify-related choices through the Shopify Privacy Portal.
22. Payment Providers
We share or allow the direct collection of information by Shopify Payments and other payment methods made available at checkout. This is necessary to authorise payments, prevent fraud, issue refunds and manage payment disputes.
The payment provider selected by you may process information under its own privacy notice and legal obligations.
23. Fulfilment Partners, Suppliers and Delivery Companies
Tofulfill and deliver an order, we may share the minimum necessary information with selected fulfilment partners, suppliers, warehouses, customs intermediaries and delivery companies.
This information normally includes your name, delivery address, telephone number, email address where required for delivery, products ordered and relevant order or tracking identifiers.
Our international fulfilment partners may include Wiio and other approved providers used for product sourcing, quality control, packing and dispatch.
These providers are not authorised to use order information for their own unrelated marketing.
24. Customer-Service and Communication Providers
We may use Atendefy or other approved customer-service providers to organise customer communications and support requests.
We may use Google Workspace for business email and Klaviyo for email marketing, customer communications, marketing preferences and campaign management.

25. Analytics, Advertising and Social Media Providers
Subject to your consent where required, we may use analytics and advertising services supplied by organisations such as Google, Meta and other platforms identified in our Cookie Policy or consent-management interface.
These providers may process device, cookie, usage and advertising-attribution information. Some may act as independent controllers for their own permitted purposes.
The current consent interface and Cookie Policy should be consulted for the technologies active at the time of your visit.
26. Review Providers
We may use Trustpilot or another review platform to collect, verify, moderate or display customer reviews.
If we invite you to submit a review, the invitation does not require you to provide one. The selected review platform may process information under its own privacy notice.
27. Professional Advisers and Authorities
We may disclose personal information to accountants, auditors, insurers, legal advisers, tax advisers, banks or regulatory authorities where reasonably necessary for professional advice, compliance, legal claims or business administration.
We may also disclose information where required by a valid court order, lawful authority request or other legal obligation.
28. Business Transfers
If Alder Parlor is involved in a merger, restructuring, financing, sale or transfer of all or part of its business, personal information may be disclosed to relevant advisers and transaction parties subject to appropriate confidentiality and data-protection measures.
Any successor controller will be required to use the information consistently with applicable law and provide any notice required by law.
29. International Data Transfers
Alder Parlor is established in the United Kingdom, while some customers, service providers and fulfilment operations may be located in the European Economic Area, Canada, the United States, China or other countries.
As a result, personal information may be transferred to, accessed from or stored in a country different from the country in which you live.
Where the destination is covered by a valid adequacy decision, we may rely on that adequacy decision.
Where an adequacy decision does not apply, we will use a legally recognised transfer mechanism where required. This may include the European Commission’s Standard Contractual Clauses, the United Kingdom International Data Transfer Agreement, the United Kingdom Addendum to the Standard Contractual Clauses or another safeguard authorised by applicable law.
We may also carry out an assessment of the transfer and implement supplementary contractual, organisational or technical measures where appropriate.
You may request further information about an applicable transfer safeguard by contacting contact@alderparlor.com. We may redact confidential or security-sensitive information from any copy provided.

32. Personal Data Breaches

If you believe that a child has provided personal information to us without appropriate authorisation, contact contact@alderparlor.com. We will investigate and delete the information where required.
34. Your Data Protection Rights
Depending on where you live and the circumstances of the processing, you may have the right to request access to personal information we hold about you.
You may also have the right to request correction of inaccurate information, completion of incomplete information, deletion, restriction of processing, data portability or information about how your data is used.
You may object to processing based on legitimate interests. We will stop the relevant processing unless we demonstrate compelling legitimate grounds or need the information to establish, exercise or defend legal claims.
You have an absolute right to object to processing for direct-marketing purposes.
Where we rely on consent, you may withdraw that consent at any time.
You may have the right not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects, subject to applicable exceptions and safeguards.
These rights are not absolute. We may retain or continue processing information where required by law or where a valid legal exception applies.
35. Exercising Your Rights
To exercise a privacy right, contact contact@alderparlor.com and describe your request.
We may request information reasonably necessary to confirm your identity and prevent unauthorised disclosure. We will not request more information than is proportionate to the request.
You may authorise another person to submit a request on your behalf. We may ask for evidence that the person is authorised and may confirm the request directly with you.
We will respond without undue delay and within the period required by applicable law. If additional time is legally permitted because a request is complex or numerous, we will inform you.

You may unsubscribe from promotional emails through the unsubscribe link in each marketing message or by contacting contact@alderparlor.com.
Where SMS marketing is available, you may opt out using the method stated in the message.

Our website may contain links to websites or services operated by third parties. We do not control the privacy practices of an independent third-party website merely because we provide a link to it.
You should review the privacy information of the relevant third party before providing personal information directly to it.
39. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes in law, technology, service providers, business operations or the ways in which we process personal information.
